Their legal effect depends on local housing law, the agreement, authenticity and the process receiving them. Separate the chat from the legal documents

A WhatsApp conversation can show that someone raised a problem or proposed an arrangement, but it may not create the formal notice, consent or agreement local law requires. Keep the signed tenancy, prescribed information, deposit certificate, inventory, inspection reports, invoices, payment ledger and notices in their original form.

Create a simple source register: item, date, origin, issue and storage location. Link a chat message to the relevant repair photo or receipt by date, but do not merge everything into one altered file and discard the originals.

Document repairs from first report to outcome

For each repair, record when the issue was first reported, the exact description, any safety concern, the response, access dates offered, contractor attendance and whether the work was completed. Preserve original photos and videos with their dates where possible; a transcript may show a media placeholder without the attachment itself.

Keep follow-ups factual. A message count or angry wording does not establish severity, fault or legal breach. The useful record is the sequence of notice, response, access and outcome alongside independent condition evidence.

Prepare a deposit or payment file

Keep proof of the amount paid, date, recipient and purpose. Add the signed agreement, deposit-protection information, inventory and check-in/check-out reports. Messages can explain a deduction discussion or payment request, but bank records and scheme documents establish different facts.

In England, official guidance says tenancy deposit schemes offer dispute resolution and both landlord and tenant may be asked for evidence. Current GOV.UK guidance on rent in advance also gives dated text messages, voicemails or emails as examples of evidence that may be kept. These examples are specific to that jurisdiction and do not create a global rule.

Handle access, notices and privacy carefully

Index requests to enter the property, the stated reason, notice given, proposed time, the tenant’s response and what happened. Do not infer legality from the chat alone. Official England guidance, for example, describes notice and reasonable timing for ordinary inspection or repairs, but emergency and local rules can differ.

A rental chat may expose addresses, entry codes, children, health information and third parties. Redact a working copy only when the receiving process allows it, preserve the complete source and keep a redaction log. Never publish the conversation as leverage.

Choose the correct dispute route

Many issues have a process before court: write to the landlord or tenant, use the letting agent’s complaint route, contact a deposit-protection scheme, approach a local authority, use mediation or follow a tribunal procedure. The correct route and deadline depend on location and issue.
