How to Preserve a WhatsApp Chat for Court or Legal Evidence

If a WhatsApp conversation may matter to a dispute, complaint or investigation, preserve the source material before turning it into a PDF. Keep the original phone and account where practical, make an untouched WhatsApp TXT or ZIP export, retain attachments, and record when and how each copy was created. A readable PDF can help a lawyer or reviewer follow the conversation, but it does not by itself authenticate the participants, preserve every form of metadata or make the messages admissible.

Why one universal ‘court-ready WhatsApp PDF’ does not exist

Official sources reviewed on 23 September 2026 illustrate why format is only one part of the problem. U.S. federal Rule 901 requires enough evidence to support a finding that an item is what the proponent claims; Rule 902(14) creates a certification route for certain data copied from an electronic device, but a normal consumer PDF is not that certification. England and Wales Practice Direction 31B treats texts, phone data, backups, deleted material and metadata as electronic documents and stresses preservation when litigation is contemplated. Its Practice Direction 32 sets detailed rules for witness statements and exhibits. California’s self-help guidance tells parties to check the local court’s exhibit procedure. Australia’s federal Evidence Act contains separate provisions on electronic communications and output produced by devices or processes. None of these sources says that exporting a WhatsApp chat to PDF guarantees admission.

What to preserve first

• The phone and WhatsApp account that display the conversation, when keeping them is lawful and safe.
• An untouched chat export, preferably with media when relevant and practical, stored in more than one secure location.
• Original image, audio, video and document attachments rather than screenshots of those files.
• Participant details, phone numbers, dates, time zones and any known changes of device, number or display name.
• Enough surrounding conversation to explain the meaning of the relevant messages.
• A simple activity log stating who exported, copied, renamed, converted or redacted each file and when.

A cautious preservation workflow

1. Stop routine deletion, disappearing-message changes and cleanup that could remove relevant material. Do not ask another person to delete their copy.
2. Write down the device, phone number, account, date, time zone and chat name before exporting. Note any known clock or display-name issue.
3. Use WhatsApp’s export feature to create a TXT or ZIP copy. Preserve the file exactly as exported and make a separate duplicate for review.
4. Keep relevant attachments in their original file formats. Do not compress, crop or overwrite the only copy.
5. Create a readable PDF from the duplicate when it helps review. Give it a clear filename and state the source export and date used.
6. If you make excerpts or redactions, keep an unaltered master and a log explaining every omission. Never present a selected excerpt as the complete conversation.
7. Ask the actual recipient about permitted file formats, page limits, exhibit labels, translations, confidentiality, service and filing deadlines before submission.

Original export, device data and readable PDF serve different jobs

WhatsApp’s export function creates a text history, optionally with recent media attachments; WhatsApp itself notes that the text file is not a backup that can be re-imported. A PDF derived from that export improves readability, pagination and review. It may lose or simplify information that exists in the app, device, database, backup or attachment metadata. If authenticity is disputed or a formal extraction is needed, a lawyer or qualified digital-forensics professional may recommend a different acquisition method. Do not attempt a forensic extraction yourself merely because a case may exist.

Are screenshots enough?

Screenshots can be useful for quickly recording what is visible, especially if content may disappear, but they often omit the phone number, surrounding messages, export structure, attachments or other context. Capture wide context, avoid drawing over the only copy, and keep the underlying conversation and export. A screenshot, export and PDF can each support review, yet the receiving authority decides what it requires.

Preserving words is different from proving who sent them

A contact name on your phone is not conclusive proof of authorship. Identity may depend on testimony from someone with knowledge, phone numbers, account information, reply patterns, surrounding events, other records or a technical process. Do not rewrite contact names to make the evidence look clearer. Instead, record the names and numbers as they appeared and explain any change separately.

Redaction, translation and confidentiality need a record

Conversations may contain privileged advice, intimate material, health information, financial details or third-party data. Removing unrelated material may be allowed in one setting and improper in another. Keep the unredacted master secure, work only on a copy, mark that a copy is redacted, and maintain a log of what was removed and why. Use the translator and certification method required by the recipient; a machine translation may help review but may not satisfy a filing rule.
